Qatar Charity - Gaza Office invites candidates to apply for the following position:

Title:    Secretary
Location: Gaza
Report to: Field Office Director
Contract duration: 12 months (Renewable)
Deadline for application: Mar. 27, 2016.

MAIN PURPOSE OF JOB

The Secretary is vested with the overall general administrative support to Gaza Field Office, and reports directly to Office Director. The primary responsibilities of the Secretary include maintaining office filing system, faxing documents, providing logistical support for special events, staff meetings and workshops and assisting in administrative requirements.

JOB DESCREPTION

-Maintain office- filing system using proper records and management procedures.
-Answer phones, fax documents and photocopy materials as requested.
-Types and edit documents in Arabic and English, as requested.
-Reception guests and directs them to the responsible unit/person.
-Assist and facilitate special events, staff meetings and workshops as requested.
-Coordinate arrangements for visitors; assist staff in consultant arrangements, transportation, lodging, workspace in the office.
-Assist in maintaining work, leave, sick records for staff and update the staff balances on a monthly basis.
-Assist in coordinating internal travel of Gaza staff.
-Maintain all vehicle logs for office cars.
-Assist in ensuring that all vehicles are properly serviced and usage logs maintained.
-Assist in procurements and re-ordering of office supplies.
-Assist in the procurement process of office equipment.
-Assist in conducting physical property inventory at Gaza office.
-Performing other duties as may be assigned by direct supervisor.

ESSENTIAL WORK ACTIVITIES

Not limited to the followings; Coordinating, arranging and following up administration activities for Qatar Charity – Gaza strip.

EDUCATION, SKILLS AND EXPERIENCE

-Diploma or Bachelor degree in Secretary, Office Management, Business Administration or any other related field, with strong post qualification experience (minimum 1 year in related field)
-Strong communication skills.
-Experience of a flexible approach to managing and prioritizing a high workload and multiple tasks in a fast-paced environment with tight deadlines.
-Demonstrated experience of working with team.
-Demonstrated attention to details
-Professional computer Skills, MS. Office, Photoshop, internet and mailing.
-V. Good knowledge of English and Arabic.
-An understanding of and commitment to QC’s mission and values
