The Logistic Department is committed to implementing and maintaining the highest standards of efficiency and integrity in implementing logistical services. The overriding objective for all Mercy Corps logistic activity is the prompt and effective provision of standards Mercy Corps’ rules and regulations in compliance with donor specifications.
General Position Summary:
The Logistic Assistant is responsible for facilitating the logistic aspects of Mercy Corps’ logistic operations. Working closely with Program, Administration, Finance and Procurement the Logistic Assistant is instrumental in supporting program activities through his/her services.
Essential Job Functions:
1) Procurement & Logistics Support:
-Facilitate smooth office operations;
-Carry out deliveries, payments and other services as requested by the MC team;
-As required provide logistical support to MC staff;
2) Fleet Management:
-Prepare and maintain logistic files and documents in a systematic and orderly manner according to MC global policies;
-Ensure that required vehicle insurance is maintained;
-Ensure that all needed registration, IDs & License documents are obtained
-Maintain files of all necessary paperwork for agency vehicles (including log sheets and monthly reports); ensure that all vehicles are carrying complete paperwork.
-Assist in the coordination for all agency vehicle movement;
-Fill in daily movement log sheets on Mercy Corps log sheet Database.
-Tracking Vehicles usages and ensuring that the vehicles are efficiently used and tracked with assistance of the Head of Drivers.
-Prepare monthly payment requests for vehicles log sheets.
-Applying Mercy Corps policy on all the vehicles used and preparing monthly personal usage for the senior staff if applicable.
-Ensures that the vehicles are being checked on weekly basis and ensuring that the vehicles are good working order.
-(If applicable) Ensure that the received fuel by the drivers are tracked accurately and being used on the proper way
-Documenting the usage fuel by applying MC forms
3) Warehouse Management:
-Assist the Sr. Logistic in maintaining warehouse files in an updated systematic order.
-Obtain monthly warehouse inventory reports from Mercy Corps’ warehouse keepers.
-Conducts random and periodic physical inventory checks.
-Assist in the yearly fiscal year annual inventory physical count.
-Assist the Sr. Logistic in preparing warehouse contracts and follow up on payments.
-Reads and has a clear understanding of the Mercy Corps Asset Management Manual and all procedures;
-Ensures that procedures outlined in the Mercy Corps Asset Management Manual will be implemented in Mercy Corps Offices.
-Responsible for logging all new Mercy Corps assets in MC Gaza Office in the asset register and ensuring the appropriate coding and tags are placed on each item. Regularly updates asset register with changes and new acquisitions;
-Coordinate with the procurement and finance office in identifying all details of assets such as buying price, ledger reference, PR, PO and GRN number etc. and update the asset database accordingly;
-Checks in/out Mercy Corps owned equipment to authorized staff using the standard Mercy Corps procedures and forms outlined in the Asset Management Manual;
-Record and document any movement of assets in Mercy Corps formats;
-Schedules and conducts physical count of assets on different locations, projects and sites;
-Provides a monthly physical count/check where all assets are located and their status confirmed; coordinate with the responsible officer for tracking assets in other offices to ensure the locations and status of assets that have moved between offices;
-Update the electronic database monthly and provide an electronic copy to supervisor and Operations Director; A hard copy is printed, signed and filed in the assets folder;
-Conduct himself/herself both professionally and personally in such a manner as to bring credit to Mercy Corps and to not jeopardize its humanitarian mission in MC Gaza Office
Supervisory Responsibility: None
Accountability: Accountable for following Mercy Corps Field Logistic Manual, the MC Code of conduct regarding logistic activities and MC Conflict of Interest policy.
Reports Directly To: Senior Logistics Officer
Works Directly With: Program and Operations staff
Knowledge And Experience:
-Degree in a relevant business field is desired.
-Minimum 1 year experience in supply chain management; international business or related field.
-Strong organizational skills; ability to interact effectively with international and national personnel.
-Good oral and written English skills. Good computer skills on MS Office programs, especially in MS Excel.
-A demonstrated ability to multi-task and process information into action as to not delay program activities.
-A clear understanding of logistic ethics and donor compliance is essential.
-Ability to work simultaneously on multiple tasks
-Willingness and ability to work effectively with a wide variety of people
-Excellent interpersonal skills
-Ability to work as part of a team and coordinate with project personnel
-Very Good spoken and written English
-Computer literate and strong organizational skills.
